The Canadian Red Cross Society, a non-profit, humanitarian organization dedicated to helping Canadians, as well as the most vulnerable throughout the world, is seeking a Records Management Administrative Assistant Volunteer for the Volunteer & Customer Support Services department. Reporting to the Assistant Coordinator this position is responsible for all aspects of Records Management; hard copy volunteer records and records in our database.

The Volunteer and Customer Support Services department is the volunteer recruiting backbone of the Canadian Red Cross. Our team strives to recruit and orient qualified volunteers to support all programs and departments of the BC Red Cross.   We are committed to working with volunteers, staff from other departments, as well as individual and corporate donors, the government, and the private sector to maintain and expand Red Cross’s day-to-day operations on both the local and international level.
Key Responsibilities
  • File review – confirming volunteer files/data is current and complete and all files hold accurate information. 
  • Performs file reconciliation which will include confirming volunteer files are consistent with actual work performed by volunteer
  • Information verification by telephone and/or mail with volunteer or program supervisor
  • File volunteer related documents
  • Populate and maintain records in Raisers Edge database
  • Creates, tracks and documents volunteer records/files
  • Inputs all new and updated information into the Raiser’s Edge Volunteer Tab as required
  • Inputs and tracks applicant information on Smart Sheet
  • Cover reception as required
  • Integrates volunteer resources within the scope of responsibilities, as required
  • Participates in disaster planning, preparation and response, as required
  • Contributes to a healthy and safe working environment
  • Performs other administrative duties, as required
  • Strong communication skills
  • Strong organizational and interpersonal skills as well as the ability to work with little supervision
  • Attention to accuracy and detail
  • Ability to work alone and within a team
  • Database experience and strong computer skills are required. Experience with the Raiser’s Edge program would be an asset
  • An eagerness to learn Raiser’s Edge and Smart Sheet
  • A genuine desire to work with the Red Cross and within its fundamental principles
  • A positive attitude with openness to new challenges
  • This position requires a successful vulnerable sector check. 
Working Conditions
We are seeking volunteers who can commit to a minimum of six month’s service.   Ideally volunteers will be available on an on-going basis. We are currently seeking volunteers available to fill 2 or more 3 hour shifts Monday – Friday between 8:30 am and 4:30 pm.
