The Canadian Red Cross Society, a non-profit, humanitarian organization dedicated to helping Canadians, as well as the most vulnerable throughout the world, is seeking an Administrative Volunteer for the Disaster Management Program. Reporting to the B.C. and Yukon Provincial Disaster Coordination Team (PDCT) and Emergency Response Teams (ERT), Administrative volunteers provide administrative support which includes; taking minutes of meetings, publishing organizational charts, overseeing data records that would be entered in the field, providing administrative support, and other administrative tasks.
Key Responsibilities
  • Set up electronic folders
  • Publish and update finance and administration information guide
  • Set up and manage email
  • Ensure minutes are taken at the meetings and distribute to the team
  • Maintain contact information of team members and publish it to the team
  • Publish organizational chart on daily basis
  • Closely connect with teams to have personnel’s schedule for organizational chart update
  • Oversee deployed personnel’s travel arrangement in consultation with team
  • Connect with logistics team regarding supplier agreement related to accommodation, catering, and travel arrangement
  • Develop administrative tools to maintain the data and records
  • Support finance/administration as needed by maintaining financial documents, spreadsheets, and files
  • Record and enter statistical data for domestic disasters
  • Assist with office inventory control
  • Additional duties as assigned
  • This position requires a satisfactory Canadian criminal record reference check.
  • Understanding of Red Cross role in disaster response
  • Have Level 1 CRC First Aid Certificate
  • Valid BC Driver’s License
  • This position requires a successful Canadian criminal record check and successful vulnerable sector check
  • Strong organizational skills
  • Attention to detail is essential
  • Excellent computer skills (comfortable using the internet, email, and Microsoft programs including Excel, Outlook, Vision, Access, Publisher and PowerPoint)
  • Good communication and negotiation skills
  • Ability to adapt to constantly changing circumstances
  • Ability to work well independently or in a team
  • Ability to work under pressure
Working Conditions
  • The work environment may not be as clean and comfortable as a standard office environment. The work will require on-call duties and long working hours (up to 10-12 hr shifts, 6 days/week) during response. Health risks are involved, all must review the Health and Safety Considerations Form prior to the assignment.
  • May require to be deployed within or outside of the local area for 2-3 weeks
